If you've managed registration outside of Expo Pass, you’ll need to import your attendee list by uploading a CSV file. Here’s exactly how to do it!
Before You Start
✅ Make sure your file is a CSV UTF-8 format.
✅ At minimum, you need these two columns:
First Name
Last Name
✅ Prepare any custom fields in advance if you need to upload information beyond the standard Expo Pass attendee fields (like T-shirt size, meal preferences, etc.).
Steps to Upload Your Attendees
1. Navigate to the Attendees Section
Log into Expo Pass and open your event.
In the menu, click Attendees, then select Upload Attendee CSV
2. Prepare Your CSV File
Ensure you have separate columns for each data field.
First Name and Last Name are required.
If you have custom data points outside of the Expo Pass Standard fields that you need to upload, you will first need to do one of the following:

Create the custom attendee fields on your Registration Form
❗ Important: When saving your CSV file, use the CSV UTF-8 file format. This format will help support special characters in your data upload.
❗ Important: If you plan to allow editing attendee information during Check-In or Onsite Registration, you must include an Email Address column in your upload.
No Email Address? Use a dummy email like name@expopass.io
3. Upload and Map Your Data
Drag your file into the upload area.
Match each column from your CSV to the correct Expo Pass attendee field.
Click Save.
If there are any errors, you’ll be prompted to fix them before the upload can be completed.
Common Upload Errors and Fixes
Sometimes you will get errors in your upload and need to troubleshoot. Below are some helpful tips to start with that should fix most of your issues.
Event User Email Conflict:
An Event User/Admin and an Attendee cannot share the same email address. Assign different emails.
Duplicate Emails:
Each attendee email must be unique.
💡 Quick Tip: Use Excel’s de-duplicate feature to clean your list.
Trailing Spaces in Emails:
An extra space after an email address will cause errors.
💡Quick Tip: Use the TRIM formula in Excel to clean spaces.
Incomplete Email Addresses:
Make sure every email has both an "@" and a ".com" (or appropriate domain ending).
Unsupported Characters:
Avoid using these special characters:
