Registration Transactions and Reporting

Your event's financial home. See every charge, invoice, refund, and dispute in one place — with running totals up top and a searchable, filterable table below — so you always know what you've collected and what's still outstanding.

Are you looking to monitor your registration transactions, credit card payments, credit card payouts to be deposited, or anything else related to your event's money collections, then read on on how to leverage the Expo Pass Registration Transaction Report.

When Expo Pass serves as your event's Registration System, you can pull a report of your event transactions - an accounting of what funds you have collected (and potentially refunded).

Here is the process to pull your registration transactions:

1. Log into Expo Pass and click into your event.

2. From the left-hand menu option, click on Registration ➜ Review Transactions

Read your finances at a glance

The summary bar across the top gives you live totals for the transactions currently in view. Search or filter the table and these numbers update to match, so you can total up any slice of your data instantly.

Metric

What it means

Charges

Count and total value of credit-card charges.

Invoices

Count and total value of invoices you have issued.

Paid Invoices

Invoices that have been marked as paid.

Refunds

Money refunded back to registrants.

Disputes

Charges that have been disputed or charged back.

CC Fees

Credit-card processing fees.

Total Collected

What you have actually collected — charges plus paid invoices.

Total Unpaid Invoices

Outstanding invoice balance still owed to you.

Total Deductions

Refunds, disputes, and fees combined.

Net Total

Your bottom line: Total Collected minus Total Deductions.

Choose your view

Use the toggle at the top right to switch between two ways of looking at the same data.

By Payment — groups transactions by registration, so each registrant’s order appears as a single line. Best for a quick, order-level overview.

All Transactions — lists every individual transaction (each charge, invoice payment, and refund) on its own line. Best for detailed reconciliation.

Find exactly what you need

Search

Type a billing email or registrant name into the search bar and click Search. Click Reset to clear it and return to the full list. Notice the summary totals at the top adjust to your search results.

Filters

Click Filters to open the Table filters dialog and narrow the table by column values. Build a filter as a rule:

  • Click Add filter to create a rule, then choose a Column, a Compare method, an Operator (such as ≥ greater than), and a Value — for example, Payment Date ≥ 01/20/2025.

  • Add as many rules as you need — all rules apply together, and you can add multiple rules for the same column. Incomplete rows are ignored when you apply.

  • Click Apply to filter the table, or Clear all to start over. A number badge on the Filters button shows how many filters are active.

Bookmarks

Once you have built a view you’ll want again, save it with Bookmarks. A bookmark stores the search, filters, column layout, sort, and row settings currently applied to the table, so you can return to that exact view in one click instead of rebuilding it.

1. Set up the search, filters, and columns you want, then open Bookmarks and choose to create one.

2. Give it a Name (for example, “Payment in 2025”). A Slug is filled in automatically.

3. Click Create Bookmark. Reopen it any time from the Bookmarks button.

Customize your columns

Click Table to open Table Tools and tailor the table to what you need to see.

Show or hide any column with the Hidden checkbox.

Reorder columns by dragging the handle on the left of each row.

Freeze a column so it stays in place while you scroll sideways through the table.

Click Save to apply your layout.

Export your report

Click Export to download the transactions currently in view. Be sure to tick the box on each transaction or Select All when exporting

• Your data downloads as a CSV file. We recommend opening it and saving it as an Excel (.xlsx) file to preserve your formatting.

• Click Refresh Data first to make sure you are exporting the very latest transactions.


Issue a refund

You can refund a card charge without leaving the page.

1. On the charge you want to refund, click Refund in the Action column.

2. Review the Original payment and Remaining refundable amounts.

3. Enter a Refund amount. Enter the full amount to give the registrant everything

back (you absorb the processing fee), or the net amount to pass the processing fee on to them.

4. Optionally tick Send refund notification to email the registrant automatically.

5. Click Refund to process it.

Before you refund

Credit-card processing fees are not refundable by the payment processor, so a full refund means your organization covers that fee. Refunds are pulled from your linked bank account, which must hold enough to cover the amount. A refund does not remove the registrant from your event roster. Record an invoice payment

When a registrant pays an invoice outside Expo Pass — by check or bank transfer, for example — record it here so your totals stay accurate.

1. On the invoice row, click Payment in the Action column.

2. Review the Invoice amount, Payments received, and Remaining balance at the top.

3. Under Add invoice payment, enter a Description (check number, payer name, or a note) and an Amount.

4. Click Add payment.
