Manage the Expo Pass QR Code Formatting

Manage the formatting for the Expo Pass QR Code used for Session Tracking and Lead Retrieval on attendee badges.

Expo Pass QR codes are printed on attendee badges for events using Session Tracking or Lead Retrieval. While QR codes should always be scanned within the Expo Pass App to ensure data is captured correctly, we understand that external scanning can occasionally occur.

To support those situations, Expo Pass offers the ability to customize certain elements of the QR code’s formatting, including adding a redirect URL when the QR code is scanned outside of the app.


Event User Permissions

Event Owners automatically have access to manage and update the Expo Pass QR Code Management settings.

Other Event Users will need the following permission enabled in order to view or modify this feature:

  • Customize QR Code Format


Expo Pass QR Code Format Management

To access QR Code formatting settings:

  • Attendees ➜ Manage Expo Pass QR Code

From this page, you’ll see all available formatting options for the Expo Pass QR Code. The format currently applied to your event will be marked with a “Currently in use” tag.


Expo Pass (Default)

The Expo Pass Default format is our standard QR code configuration.

  • This format cannot be customized.

  • It is the default setting for all events.

  • This is the recommended format.

Default QR codes scanned outside the Expo Pass App will open a web browser and perform a Google search using the attendee data:

  • First Name; Last Name; Attendee ID

  • No sensitive data is displayed.


URL

The URL option allows you to specify a custom URL that will open when a QR code is scanned outside of the Expo Pass App.

Important Notes

  • Longer URLs create a denser (busier) QR code, which may make scanning more difficult.

    • To avoid scanning issues, consider using a shortened URL.

  • If you must use a long URL, ensure your QR code is printed larger on the badge to improve scan reliability.

Integration

The Integration format is a specialized configuration for select use cases.

  • This option requires coordination with the Expo Pass Event Success Team.

  • Most clients will use either the Default or URL options.
