When setting up a live streaming session with Vimeo as the hub, you'll need a live streaming studio platform (web camera and microphone) such as StreamYard, to produce your session. No download is necessary!

Once your session is streaming via Vimeo, we can easily pull in and embed this video content into Expo Pass, for a one-stop location housing all your virtual event sessions.

STEP 1: Streaming Your Content On Expo Pass - Vimeo to StreamYard

The process starts with setting up your Vimeo Event.

  • Sign up for Vimeo Premium. You can check out their current prices, here.

  • Sign into your Vimeo account

  • On the left hand side, click on "New Video" in blue

  • Click on “Create Live Event”

  • Name Your Event (what we in Expo call a "Session"). We recommend that your name here is the same as your session name that will appear in Expo Pass.

  • Click on either "Recurring" or “One-Time.” We recommend "Recurring," which you can stream to multiple times without changing your event page link or embed code. For more information on this setting, please refer to this Vimeo settings article.

  • Choose your Privacy setting. We recommend that you use “Hide From Vimeo,” which means that the video can be embedded on other sites but can’t be viewed on vimeo.com. For more information on privacy settings, click this Vimeo privacy article.

  • Find the 6 or 9 digit code at the URL link: https://vimeo.com/123456789 and save that number for future input into Expo Pass. Write it down, put it on a sticky note, etc. You’ll need this later! NOTE: 6-digit codes correspond with a "Recurring" setting while a 9-digit codes correspond with "One Time" event settings.

  • Toggle on the Chat if you’d like this feature on, as this will embed into Expo Pass too.

  • Click on “Next”

  • Above the video, click on “Connect (RTMPS)

  • You’re going to copy and paste TWO things from this page into StreamYard

STEP 2: Streaming Your Content to Expo Pass - StreamYard to Live Broadcasting

  • Sign up for StreamYard Professional - you can check out the current prices, here

  • We recommend the Professional plan. If you decide to use free or basic options for a cheaper price, please know that Full HD quality is not included and there will be StreamYard branding

  • Double check your browser - use Google Chrome (recommended) or Firefox

  • Click on, “Create a Broadcast”

  • Click on the plus sign, “Add a new destination”

  • Set destination by going to the last item, and choose “RTMP Server”

  • Copy and paste your RTMP server URL from Vimeo (mentioned in step 1) into StreamYard

  • Copy and paste your Stream Key from Vimeo (mentioned in step 1) into StreamYard

  • Nick name your content! We recommend to use the same name convention as that of your Session, as named in Expo Pass.

  • Click on “Add RTMP Server”

  • Officially Name your content. Again, to be consistent across all platforms, we recommend to use the same name convention as that of your Session, as named in Expo Pass.

  • Click on “Create Broadcast”

  • Create your Display Name

  • Click on, “Enter Broadcast Studio”

STEP 3: Inputting Information Into Expo Pass

Before you can officially go live, you'll need to do a few more things!

  • Go to your virtual event session

  • In the top right corner, toggle down from view to “Edit”

  • Click on the video and click on the “Live” button

  • Use the dropdown menu to click on “Vimeo”

  • Plug in the 6 or 9 digit code from Vimeo (the one from Step 1 above) into the “Vimeo Video ID” section

  • Toggle on “Enable Chat” if you’d like this feature

NOTE: When setting the "Available Until" time within your viewing screen for a LIVE Session, please note that this is the time that the session will expire/shut down. ALL ATTENDEES IN THE SESSION AT THIS TIME WILL BE REMOVED FROM THE SESSION. Please make sure when setting this time to account for a time buffer in case your session goes over the expected time.

  • Click Save!

  • Go from “Edit” to “View”

STEP 4: Let’s Cover Our Bases and go LIVE!

  • Great job, you’re almost there!

  • You’ll be broadcasting live from the StreamYard webpage

  • On Vimeo, click on “Webcam” next to “connect (RTMPS)

  • You’ll see the stream from StreamYard

  • If this is good to go, amazing!

  • Go to your StreamYard page, and click on “Add To Stream”

  • When you’re ready to GO LIVE, click on “Go Live”

  • You’re LIVE! 🎉

  • You are now streaming live from StreamYard into Vimeo and now embedded in Expo Pass.

Once you’ve completed the steps listed above, here are some things to note:

  • StreamYard has several Help Articles for your reference, which will be helpful for the Admin. Hosts and other Speakers (up to 10 per session): Getting Started in StreamYard and StreamYard FAQs.

  • Have someone ready to be the Admin. Host on StreamYard. Here is a link to StreamYard's YouTube channel that has lots of additional tutorial videos.

  • Please inform your speakers to not touch/adjust anything. Here is help article from StreamYard regarding Guest Instructions and video on how to Invite Guests.

  • Speakers need to be prepared for two things: an email that has the link to SteamYard, and a passcode that has been sent to their email.

  • There is NO option to login/save password/register.
