ⓘ This article is for Event Organizers
Expo Pass can function offline if the Attendee List is pre-loaded into the mobile app on each device. However, this limits functionality — especially if you plan to:
Register walk-in attendees
Accept payments onsite
Access real-time back-end reporting
For these reasons, 99.9% of Event Organizers use an active internet connection to sync data regularly and ensure everything runs smoothly.
The information below should be shared with your venue AV/IT team at least 30 days before your event.
Expo Pass requires a router to connect the onsite hardware, iPads and Printers, to each other as well as to receive the internet source provided by the venue. This local communication is achieved using a Wifi access point. This access point must not be interfered with in order to run the Expo Pass product cleanly.
🔧 Expo Pass Equipment Setup
If renting equipment from Expo Pass, we’ll provide:
Router (with optional cellular backup)
iPads
Printers
Our router connects all onsite hardware through a local WiFi access point. This communication must remain uninterrupted for the system to run correctly.
❗What You Need to Do Before the Event
Share this article with your venue’s AV/IT team at least 30 days in advance.
Ask the venue for any documentation related to networking or router setup — and forward it to your Expo Pass Event Success contact.
Get the name and cell number of the venue’s onsite IT/AV contact.
Confirm their coverage hours to ensure support is available during setup and throughout your event.
These steps help avoid delays or internet issues during check-in and badge printing.

Additional Considerations
Here are additional questions to raise with the venue's IT team, especially if your event is in a very large conference facility or convention center. Please click on each collapsable section here (the triangles) if the answer to the question is "YES."
🔁 Reminder: Share all technical forms or IT documents from your venue with Expo Pass well ahead of time.

❗ Important: It's important to emphasize that the internet connection is exclusively designated for Expo Pass equipment. It should not be shared with staff, exhibitors, or attendees, as doing so may lead to issues with the proper functioning of the equipment.
📶 Ethernet (Recommended)
Expo Pass highly recommends using a hardline (ethernet) connection when providing internet, as it is generally the most stable option.
Please work with your Venue to ensure that the following is available:
Ethernet wall jack (port) within proximity of your intended event check-in/registration area.
Expo does not provide an ethernet cable, so please make sure your venue has one that is long enough to get from the wall jack to the check-in/registration area.
Internet must be an active, dedicated connection (for Expo Pass Use Only)
In terms of speed, the minimum download and upload speed is that of 5 Mbps. Anything >5 Mbps is great! 🤗
📡 WiFi
If using WiFi over WAN instead of Ethernet:
Must be dedicated
DHCP enabled, secure (password protected)
No splash page, no walled garden
SSID must not be: ExpoPass, expopass, or similar
Recommended credentials for instant connection to our router:
SSID = exponet
Password = badge123
📱 Cellular Backup
If the onsite internet isn't sufficient, consider bringing a mobile broadband device to create a portable WiFi connection (see WiFi Connection above).
Alternatively, Expo Pass routers include Verizon LTE connectivity as a backup.
This is a helpful option but not guaranteed to be reliable due to:
Venue construction (e.g., concrete, metal walls)
Cellular signal strength at check-in
General spotty coverage indoors
We strongly recommend Ethernet or venue-provided WiFi as your primary connection.
🛠️ Support Tips
Ask your venue for IT contact info and hours of availability.
Clarify fees for dedicated internet — Expo Pass is not responsible for any added costs.
