How to form and assign your badge using the Shell and Print layer designs

Managing badge design and production in Expo Pass involves understanding various stages of the badge workflow, including customizing badge types, assigning them to attendees, and monitoring production timelines.

You've designed your badge shell and you decided what registrant data you want printed on your badges. Now it's time to Form your Badge, so our Premium Onsite Badge Printing Equipment is ready for your event!


Form Your Badge

1. To form your badge start by clicking on Form Badge under Badges

2. Name the first badge your form Default

πŸ‘‰ Most events will only have 1 badge to form as the data printed on the badge is the same for all registrants, staff and exhibitors.

Additionally, you can configure badge assignment logic to ensure the correct badge types are assigned automatically to registrants based on their registration category.

3. Select the Badge Shell and Badge Print layer you would like to combine to form your default badge

  • When forming your first badge, set as Default Badge will always be toggled ON. This is because the system needs at least 1 default for each event.

  • Do you have more than 1 badge type? Need help setting this up? Our Success Team is happy to help you create the right logic for your event.

  • Configure your badge assignment logic in the Badge Manager to map badge types to registration categories, ensuring every attendee receives the appropriate badge type based on their registration data.

4. On the right-hand side of the screen, enter a test attendee name, and you will see a preview of the Badge Shell and Print Layer selected.

❗ Important: If you do not have at least 1 attendee in the Attendee section of your event in Expo Pass, you will not be able to search for an attendee to preview their data in this screen.

5. Click Assign to complete this assignment.

6. Once completed, you will see your full badge design listed under Badges.

  • Click edit to adjust the Shell Design

    • THIS CANNOT BE EDITED ONCE THE BADGE SHELL HAS BEEN SENT TO PRINT

  • Click edit to adjust the Print Layer attendee data

    • Ideally this should be finalized at least 12 days before you event is live, which gives the team a chance to test them with the equipment before shipping.

  • Click Assign and Preview to view your assignment details and preview attendee data.

If you wish to stop production, avoid submitting the badge order for printing or decline the approval if prompted. Remember to plan the initial designs well in advance to avoid last-minute hurdles.
